Easy Steps to Building a Home with Sundancer

01 Quotation

1. Commencement

Once you have finalised your design scope and preliminary estimate with your Building and Design Consultant, your job will be submitted into the office as a tender request.

Your tender preparation will be determined by your request (Standard, custom, KDR). Your Building and Design Consultant will also book your appointment in for tender presentation. At this stage you will pay the $500 tender commencement fee.

2. Quote Presentation

At your Quotation appointment your presenter will present the quotation to you and go over the scope in detail. To accept the quotation and authorise we will require the $1900 commencement fee. (Don’t worry these preliminary service fees will become a special credit at your concrete slab invoice stage).

3. Quote Revision (If Required)

Your Building & Design Consultant will revise any notes that were made during your presentation and adjustments on your authorised Q1 (Quotation 1) and send it to our Estimating team who will formalise the changes and prepare a Q2 (Quotation version 2).

This will then be sent to you to review the changes and authorise.

Note: A quote revision will only be necessary if changes/notes are made to the Q1 that need revising. If no changes are needed then this step will be skipped.

4. Plan Order Request

Once the quotation is finalised and authorised by yourself (The Customer), Your Building Consultant will then send off an official Plan Order Request to our Drafting department to have your preliminary building plans drawn up.

5. Pre Construction Timeline

Overall Duration:
The average pre-construction journey for a standard design is approximately 12–14 weeks. Custom designs generally take 15 weeks or more, depending on the level of complexity.

Please note that these timeframes may vary due to factors outside our control, including delayed response times, extended selections, or additional plan changes. All timelines are based on the assumption that finance approval is in place and the land is titled and registered in the client’s name.

Possible Delays:
Please note, additional time may be required if there are changes made to the house plans, or delays from your bank or lender.

Preliminary Plans:
Allow 3 to 4 weeks for us to:
Prepare and review your preliminary plans, send them to your consultant for your presentation, review, and authorised approval to move forward.

02 Preliminary Agreement

1. Preliminary Plans

Once you have accepted the quotation and formally authorised us to be your builder, your Building Consultant will submit all required paperwork to our office and arrange your preliminary plans to be drawn with the drafting department. Throughout this stage, your main point of contact will remain your Building Consultant.

Preliminary plans typically take 2–3 weeks to prepare for a standard design, and 3-6 weeks for a custom design. Once completed, your consultant will review the plans internally before presenting them to you and walking through any questions you may have.

At this stage, you are provided with one opportunity to request minor changes. Our aim is to have the design scope largely finalised at the quote request stage to maintain our fast and proven process. Minor changes generally take approximately 1 week to update and re-present.

Any additional minor changes requested beyond the included review will incur additional costs and will impact the project timeline (see quote clarifications for details on this). If further changes involve significant or structural design alterations, the plans will need to be redesigned and resubmitted as a new quote request, restarting the process.

Please note that any changes beyond the included review will affect the timeline for progression toward site commencement.

2. Preliminary Services Agreement

Once your plans are finalised we can proceed to the PSA (Preliminary Services Agreement). A Preliminary Services Agreement from HIA is a simple agreement that allows us start working on your project including authority plans, securing permits and certificates and reports with confidence, ensuring all boxes are ticked.

3. Certification

Once you’ve authorised and paid, we’ll instruct our certification team to begin ordering all the necessary certificates and documents for your project, allowing us to finalise and submit your authority plans to the certifier for approval.

03 Colour Appointment

1. Colour Selection Booking Confirmation

Once the Preliminary Services Fee is settled and the Agreement is authorised, our system will unlock the ability to schedule your eagerly awaited colour selections appointment. Your project coordinator will contact you to explore available dates.

After you’ve locked in a date, you’ll receive an invitation from Sundancer, confirming your official colour selection appointment.

2. Colour Selection Pack

Shortly after confirming your colour selection appointment, we’ll mail you your personalized colour selections pack.

Inside, you’ll find details to prepare for your appointment, along with a comprehensive selections booklet and pricing guide.

We recommend taking time before the appointment to review the booklet, plan your choices, and budget for any upgrades.

Highlight your favourites and jot down a list to bring to the appointment.

Be sure to bring the booklet and your list with you so we can incorporate your selections into your home!

3. Colour Selection Appointment

Prior to your color selection appointment, we will provide you with draft kitchen plans and draft electrical plans for your review.

During the colour appointment, you will choose all elements for your home, encompassing both exterior and interior selections as well as any upgrades. These appointments typically last around 3 hours.

To ensure a smooth process and maintain progress, please come fully prepared to finalise all decisions at the colour appointment.

04 HIA Building Agreement

1. HIA (Housing Industry Association) Building Agreement

Your Building Agreement serves as the formal agreement for your home construction. Provided by the Housing Industry Association (HIA) Australia, it is designed to ensure full compliance with Australian law while offering you protection throughout the process.

HIA Building Agreement:
The Housing Industry Association (HIA) is the prominent industry body in Australia representing residential builders and related professionals. HIA provides standardised agreements, such as the HIA Building Agreement, widely used in the residential construction sector. These agreements are crafted to align with Australian legal requirements, including the *Home Building Contracts Act 1991* (in relevant states) and the *Australian Consumer Law*, ensuring both builders and homeowners are protected. They cover project scope, payment terms, timelines, variations, and dispute resolution, aiming for transparency and compliance with national and state regulations.

2. Consent Forms

When we send your building agreement for you to authorise via DocuSign, we’ll include consent forms covering Gas, Electric, and Certification, plus a Privacy authorisation so we can share details with trades, suppliers, and set up your onsite connections.

You’ll also receive a Fraudulent Email Warning Notice to review and approve, outlining our policies and efforts to safeguard your information and transactions.

Lastly, a Build Consent Form will be attached, asking your permission to submit your application on your behalf.

05 Colours Complete

1. Colour Schedule

Following your Colour Selection appointment, our team will complete and compile your official Colour Schedule for your approval.

2. Colour Selection Finishes Confirmation Letter

After you review and the Colour schedule, we will ask you to authorise the Colour Selection Finishes Confirmation Letter so that we can submit that to our Estimating department to get ready to proceed with ordering the 3000+ items required for your new home.

3. Owners Payment Summary

We’ll prepare an Owners Payment Summary for you to review and approve, providing a detailed breakdown of your project’s total costs, including the house price and any change requests.

4. Final Kitchen Drawings

After we receive your final kitchen drawings from our supplier, based on your choices, we’ll send them to you for approval via DocuSign, allowing them to order materials and start producing your kitchen.

06 Building Permit

1. Approved Plans

As soon as your plans are approved by the certifier, we’ll notify you immediately, emailing you all the documents to share with your lender, which needs to be done promptly so they can prepare the commencement letter.

2. Construction Plan Letter

At this stage we will now provide you with a Construction Plan Letter confirming your project is set to begin construction and authorising the process to move forward.

07 Preparation for Construction

1. Bank Commencement Letter

Its time for your bank’s commencement letter, which will enable us to officially signal our construction team to prepare to start work.

This letter advises us the amount required to build your home is ready to be funded by your lender.

Our insurer requires this letter before we are allowed to commence construction.

2. Bank Statement (If Required)

We’ll only request this information from you if you’re self-funding your project or if there’s a shortfall in your build budget.

This step helps us confirm that all financial aspects are covered, ensuring there are no hiccups as we move forward with construction.

3. Owners Contribution

If your lender’s loan doesn’t cover the full amount, our insurer will require us to receive payment upfront before we can move to the next step.

This ensures every customer is safeguarded, with each home fully funded by its owner.

This also ensures that we don’t use one customer’s funds to construct another customer’s home.

4. Purchase Order Stage

At this point, it’s all systems go!

We’ll give our estimating department the go-ahead to kick off the process of ordering more than 3,000 individual items needed to bring your new home to life.

This includes everything from foundational materials to the finishing touches, ensuring every detail is accounted for.

Our team will be working diligently behind the scenes to coordinate suppliers and secure everything on time, so your build stays on track and meets the vision you’ve dreamed of!

08 Site Scheduling

1. Site Manager Allocation

Right before we break ground and start your home, we’ll assign a dedicated site manager.

This person will oversee every phase of your home’s build from the very first day to the final handover.

They’ll ensure everything runs smoothly, keep you updated, and bring your vision to reality with care and expertise making sure your journey from start to finish feels seamless and well-supported!

2. Site Start

Here’s where the adventure truly kicks off!

We’ll dive in by scraping the ground, clearing the way, and prepping the site for your concrete slab.

This is the electrifying moment when the magic starts to unfold, transforming a patch of earth into the foundation of your dream home.

It’s the first bold step toward seeing your vision rise up, and we’re excited to make it happen.

09 Construction Progress Claim Stages

1. Initial Fees

$500 Tender commencement Fee

$6000 Tender acceptance fee

Allows us to immediately start work on drawing your plans, and preparing documents ready for lodgement and certification as well as all the groundwork, like permits, certificate and final designs, to set the stage.

2. Building Agreement Deposit

Deposit at Building Agreement – 0%

Unlike other builders—no BIG deposits required!

Simply authorise and keep the momentum going!

3. Concrete Slab Poured

Concrete Slab Poured – 15%

(Minus $6,500 already paid)

Your foundation is laid, and we deduct the preliminary fees, making this milestone feel like progress in motion.

4. Frames & Trusses

Frames & Trusses – 25%

The skeleton and core of your home rises, shaping the space you’ll soon call yours.

5. Brickwork / Cladding Complete

Brickwork / Cladding Complete – 35%

Walls go up, giving your home its sturdy, stunning exterior—things are really taking shape!

6. Plasterboard Installed

Plasterboard Installed – 15%

Interiors start coming to life, turning rooms into reality with every wall covered.

7. Practical Completion

Practical Completion – 10%

The grand finale! Your dream is ready for you to move in and make it your own.
